Diving into décor, color palettes, and styles is one of the most exciting parts of wedding planning. But before you begin these fun wedding planning tasks, it is important to start with the less exciting ones.

I know. Who wants to do that?

But these big-picture decisions will help shape your wedding day from the ground up so you don’t miss a single detail or have to sacrifice any of your dream wedding ideas.

1. Discuss your vision & budget

Your wedding vision will set the stage for your budget. It sets realistic expectations, guides your priorities, and helps you explore creative alternatives that still align with your wedding vision, ensuring your dream wedding becomes a reality without fail.

Sit down together to decide how to bring your vision to life & and develop a realistic budget to accommodate those desires. Make sure you consider what’s most important to you – where you want to allocate wedding day funds.

Some couples prioritize the venue to set the perfect atmosphere & securing the right photo/video team to ensure every moment is captured flawlessly. Entertainment can also top the list because who doesn’t want to celebrate the night away surrounded by friends, family, and great music?

The most important thing to remember is that this is your wedding. Lay all your ideas on the table so you cab build your dream wedding day. Focus on spending your money on the MOST important things to you…and splurge where you feel necessary. This day happens ONCE. You deserve everything your heart desires….

2. Create a guest list.

Your guest list determines the scale of your celebration, which directly impacts your budget. So, it is important to develop your guest list early on, after you set your budget.

Doing this will allow you to get a better sense of your numbers and where you need to allocate your funds.

Remember, this list does not need to be final at this point, but knowing whether you are planning for 50 guests or 200 guests will guide the rest of your planning while keeping you on budget for your venue and catering choices.

3. Discuss your priorities.

Every couple values different things for their wedding day. Maybe it’s amazing food, stunning photos, or a meaningful ceremony location.

Regardless of your priorities, make time to talk with your partner about what’s most important to each of you. Aligning your priorities helps you focus your time, energy, and budget where it truly matters.

Remember that clear and open communication is key to smooth, stress-free wedding planning.

4. Choose a date and venue.

Once you have your guest list and budget, start touring venues and checking availability. Keep in mind that popular venues can book up well over a year in advance, so it’s best to secure your spot early.

Choose a time of the year you would like to get married, but try not to set a date in stone until you have looked at some venues to see what dates are available.

When selecting your date, think about the season, potential weather, and how the time of year will influence your wedding’s look and feel.

Once you have your venue booked and your date set, it’s time to move into planning the more fun wedding stuff.

5. Gather inspiration.

This is where the fun begins! There are TONS of options when it comes to gathering wedding day inspiration.

Browse Pinterest, Instagram, TikTok, Google, ChatGPT, and wedding blogs to gather ideas for your wedding’s aesthetic. From florals and color palettes to attire and table décor, don’t be afraid to make your wedding day completely your own. Your wedding should reflect you as a couple, not just what’s trending.

Create image collections, wedding inspiration files, or wish lists so you have all your ideas in one spot, so you can easily go back for reference. Staying organized from the start will help you stay on task and ensure you don’t forget about any of your ideas.

Booking Vendors and Tackling Key Tasks

Once your foundational tasks are set, it’s time to bring your vision to life by booking vendors and finalizing key details. This is where the magic happens!

1. Book your key vendors early.

Your venue and photographer should be among the first vendors you secure. (Many of us book up a year or more in advance, so don’t wait!)

After you have your venue and photographer booked, you can hire other professionals like your planner, caterer, florist, and entertainment. Working with experienced vendors you trust will make a world of difference in keeping the process stress-free.

Pro Tip: ask your vendors for references and advice! Nobody knows the wedding industry better than your wedding vendors, so don’t be afraid to utilize their knowledge. They can even be a great source for idea generation if you’re stuck or run into an issue.

2. Find your attire.

Start shopping for your wedding dress and suit early. Alterations often take longer than expected and are not something you want to run into any issues with on wedding day. Fitting issues are one problem that is extremely difficult to pivot around, so make sure this is done early on to avoid any problems.

Remember to choose attire that makes you feel confident and comfortable so you can truly enjoy your day. Trends are fun, but they are not always functional or realistic. Keep this in mind when choosing the perfect dress and suit that will let you dance the night away.

3. Choose your wedding party.

Choosing your wedding party early will help you have your go-to people to assist you with certain tasks, which can take some of the load off. Choosing early will also help your wedding party get their attire ordered and fitted in time as well.

Select friends and family members who will stand beside you and offer support through the planning process. Be sure to surround yourself with people who lift you up and bring positivity to your day.

Take note of your budget during this stage. Larger wedding parties can often lead to higher wedding day expenses. Having your priorities clearly set will help you tremendously when it comes to choosing the right size wedding party.

4. Create a wedding website.

Take advantage of tech! A simple, stylish wedding website helps guests stay informed about your celebration while keeping all your information in one place, making it easy for you and your guests to keep track.

There are several wedding sites available that will help you step up, track, and organize information.

You can include travel information, your registry, dress code details, and any updates as the day approaches to keep your guests informed. This will help keep information relevant and organized, so there is less chance for miscommunications.

5. Get organized.

With so many moving parts, staying organized is key. Use a spreadsheet, wedding planner, or app to track your timeline, contracts, and payments. Creating vendor and wedding folders in your e-mail helps you keep track of wedding information as well. The more organized you are, the more you’ll be able to focus on the joy of the journey.
